“The Paylocity to NetSuite integration has had a positive effect across the company. Automation saves the accounting team 40 hours a month, which translates into a full week of work every month. The HR team has had a significant boost in morale, and managers from various departments love the ability to drill down into the financials for better insights. From an administrative perspective, Flexspring’s Monitor helps me easily troubleshoot any issues.” — Briana Anderson, Senior Consultant, Sparkhound
Integration Challenge
Sparkhound needed a strong integration partner to help streamline the flow of payroll data coming into NetSuite from Paylocity. Without Flexspring’s automated solution, manually entering payroll data, adding new hires, and updating employee details each month was time-consuming. This occupied a week’s worth of work and reduced productivity.
Integration Solution
Based on a recommendation from Paylocity, Sparkhound partnered with Flexspring to create custom Paylocity to NetSuite integrations to meet the company’s requirements. The solution provided by the experts at Flexspring automatically shares payroll data, new hires, and employee updates in Paylocity with NetSuite, freeing Sparkhound’s accounting and HR departments from redundant, double-data entries and ensuring consistency and accuracy between the systems.
Integration Use Cases
1. Paylocity Payroll to NetSuite Journal Entries
After processing payroll, the integration extracts payroll data from Paylocity. Then, it automatically imports payroll data such as earnings, taxes, and deductions into NetSuite to create one journal entry per payroll run per subsidiary. Summary amounts are grouped by account codes, cost center, department, or location. This integration also checks the balances of debits and credits and sends notifications in case of errors.
2. New Hires and Employee Updates from Paylocity to NetSuite
When a company hires an employee or updates their information in Paylocity, NetSuite automatically reflects the changes for workforce management. This integration reduces the potential for introducing manual errors and gives Sparkhound’s HR team time to focus on more important initiatives.
Coolest Feature of This Integration
“One of the coolest features of the integration is that we were able to map employees to a native field in NetSuite and didn’t have to use a custom field. This allowed us to create a link to access an employee profile directly from the journal entry—a functionality we wouldn’t have had with only a custom field,” said Briana Anderson, the senior consultant who spearheaded the project. “This feature helps us monitor project resources and eliminates the manual process of searching for the employee based on their ID, then finding the project and the allocated resources.”
